Overview:
We are looking for an enthusiastic individual to contribute to the corporate mission statement and the success of Bastian Robotics by completing administrative, customer service and basic accounting duties while working as a team and helping the business to be successful overall.

Qualifications:

  • Minimum Associates Degree or equivalent experience in a similar role preferred
  • Phone and front desk etiquette
  • Strong  administrative background
  • Some bookkeeping/basic accounting skill is preferred
  • Detail oriented with excellent organizational skills
  • Excellent written and verbal communication skills
  • Computer proficiency: MS Word, MS Excel, MS Outlook, MS PowerPoint, Adobe Acrobat

General Responsibilities:

  • Managing incoming calls and route those calls to appropriate person
  • Greeting and directing visitors to our office, be the face of Bastian Robotics.
  • Prepares and distributes division correspondence to all employees (e.g., attendance, meetings, updates, building maintenance etc.), as well as updating welcome screen for facility
  • Review incoming faxes daily and dispatches to appropriate personnel.
  • Provides administrative assistance to Managers as needed, including travel arrangements
  • Processes & distributes incoming mail, priority packages, and emails
  • Back-up of Purchasing and Accounts Payable personnel for periods of heavy volume, and / or absences – planned or unplanned.
  • Assist the Administrative Team with meeting room preparation and meal requirements
  • Support the Office Manager in corporate events planning
  • Projects as assigned by the management team
  • Phone training and administrative resource for new personnel (phone set-up, name plates, desk preparation, etc.)
  • Maintains records for birthdays, service anniversaries, and life events (i.e. births, weddings), ordering gifts for weddings, birth of children, etc./ arrangements for funerals / illness.
  • Maintains the "look" of the Lobby area for incoming guests.  Appropriate Holiday decorations during December.
